We are registered in England and Wales under company number 12752179 and our registered office is C/O Southern Accounting Ltd, 24 Halden Field, Rolvenden, Cranbrook, Kent, England, TN17 4BX.

For privacy questions or to exercise your data protection rights, contact admin@tranquilholidayparks.co.uk.

The information we collect

The information we collect depends on how you interact with us and can include:

  • your name, postal address, email address and telephone number;
  • the park you are interested in and the nature of your enquiry;
  • booking information, stay dates, accommodation or pitch preferences, party details and information needed to administer your stay;
  • information you provide when enquiring about or purchasing a holiday home;
  • correspondence and customer service records;
  • marketing preferences and records of consent or unsubscribe requests;
  • technical information such as IP address, device, browser and website interaction data; and
  • information supplied to us by booking, payment or other service providers where it is needed to provide the service you have requested.

How we use personal information

We use personal information to:

  • respond to enquiries and direct them to the appropriate Tranquil park;
  • check availability, create, administer and communicate about holiday bookings;
  • take payments and maintain appropriate transaction and accounting records;
  • manage holiday home ownership enquiries, viewings, purchases and ongoing owner communications;
  • provide customer service and deal with complaints or requests;
  • send marketing communications where you have asked to receive them or where the law otherwise permits us to do so;
  • operate, secure, measure and improve our website and services; and
  • meet our legal, regulatory, tax and accounting obligations.

Our lawful bases

We process personal information only where we have a lawful basis under UK data protection law. The basis depends on what we are doing with the information.

Contract and steps before a contract

We use this basis when you ask us to provide information, make a booking, manage a stay, arrange a viewing, or take steps towards a holiday home purchase or other agreement.

Legitimate interests

We use legitimate interests where necessary to run and improve our business, respond to customers, keep appropriate records, protect our website and systems, understand how our services are used and manage relationships with guests and owners, provided those interests are not overridden by your rights.

Legal obligation

We process information where we need to comply with legal, tax, accounting, regulatory or law-enforcement requirements.

Consent

We rely on consent where it is required, including for non-essential cookies and some forms of electronic marketing. You can withdraw consent at any time without affecting the lawfulness of processing that took place before withdrawal.

Contacting a park through this website

When you use our contact form, the details you submit are sent to the Tranquil team and may be routed to Woodland Springs, Webland Farm or Franchis Creek depending on the park you select. We use the information to respond to your enquiry and to keep an appropriate record of the conversation.

Bookings and Pitched Booking

Online booking functionality is provided through Pitched Booking. When you check availability, make or manage a booking, information needed for the booking is processed through the Pitched Booking platform. This can include your contact details, party and stay information, booking history, payment status and communications connected with the booking.

Payment card information is handled through the payment services used within the booking process and is not intended to be stored directly in this WordPress website.

Website analytics

We use Google Analytics 4 to understand how people find and use the website, including pages viewed, interactions, device information and general traffic sources. Google Analytics is loaded only where the required cookie consent has been given. Analytics information is used to measure website performance and improve our content and customer journeys.

Google Fonts

The website uses Google Fonts to display its typefaces. When your browser requests these font files, technical information such as your IP address and browser information can be sent to Google’s servers in order to deliver the font files.

Marketing

If you sign up to receive news, offers or other marketing from Tranquil Holiday Parks, we use the contact details and preferences you provide to send those communications. Every marketing email will provide a way to unsubscribe. We keep a minimal suppression record where necessary so that we can respect an unsubscribe request.

Who we share information with

We share personal information only where necessary for the purposes described above. Recipients can include staff working at the relevant Tranquil park and trusted suppliers providing booking, payment, website hosting, website support, email, analytics, IT, accounting, legal or other professional services.

We can also disclose information where required by law, to protect our legal rights, or as part of a sale, restructuring or transfer of all or part of the business.

International transfers

Some technology providers can process information outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, we use the applicable adequacy regulations, contractual safeguards or another lawful transfer mechanism.

How long we keep information

We keep personal information for no longer than is reasonably necessary for the purpose for which it was collected and for any legal, accounting or dispute-resolution period that applies afterwards. Booking and financial records can be retained for up to seven years where needed for accounting, tax or legal purposes. General enquiries are normally kept only while they remain relevant to the relationship or potential booking or purchase. Marketing information is kept until you unsubscribe or we no longer have a valid reason to use it, subject to retaining a minimal suppression record.

Your rights

Under UK data protection law, you may have the right to ask us for access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing, or transfer of information in a portable format. Where processing is based on consent, you can withdraw that consent.

These rights are subject to legal conditions and exemptions. To make a request, email admin@tranquilholidayparks.co.uk. We may ask for information to verify your identity before responding.

Complaints

If you have a concern about our use of your personal information, please contact us first so we can investigate it. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.

Security

We use reasonable technical and organisational measures to protect personal information against unauthorised access, loss, alteration or disclosure. No internet service can be guaranteed completely secure, so please take care when sending sensitive information online.

Changes to this policy

We will update this privacy policy when our services, suppliers or legal obligations materially change. The current version will be published on this page.
